Who is responsible for your data

This notice covers this website, enquiries received through it and the related sales and customer-support processes. Awesome Pixels GmbH & Co. KG operates the website and determines how website enquiries are collected and initially handled. It is the controller for those activities and holds the Framer, Google Workspace and monday.com accounts used for them.

OTTOMATIC GmbH develops and manufactures Pixel Cube hardware and handles shipping, invoicing and invoice administration. It acts as a separate controller when deciding how to use enquiry information for its own sales and customer relationships. Each company is responsible for its own promotional communications. For the shared customer-support process, Awesome Pixels and OTTOMATIC jointly determine how personal data is used and act as joint controllers.

Shared enquiries, sales and support

Awesome Pixels records and maintains sales contacts and conducts initial purchase discussions. Website enquiries arrive in a shared Google Workspace email inbox and are entered manually into monday.com. Both companies can access all enquiries in the shared system, and OTTOMATIC may contact you directly about your request and a resulting customer relationship.

For shared support, the companies exchange contact details, correspondence and information about support cases. Hardware-related requests are routed to OTTOMATIC and software-related requests to Awesome Pixels. Under their Article 26 arrangement, Awesome Pixels maintains the privacy information and is the main contact for access, correction and deletion requests, coordinating with OTTOMATIC. Both companies secure the data they handle and implement required changes and deletions in their own systems. They promptly inform each other of relevant data breaches; Awesome Pixels coordinates the response, while each company fulfils its applicable notification duties. You may exercise your rights against either company regardless of this allocation.

OTTOMATIC provides Awesome Pixels with monthly sales reports, including invoice copies and identification of existing and new customers, to administer their revenue-sharing arrangement. Both companies are contractually bound to keep exchanged personal data confidential, including after their cooperation ends.

For rental or production referrals, we normally give you the partner’s public business contact details so you can contact them yourself. We only send your details to a named partner for an introduction after obtaining and recording your permission. We identify the information to be shared in advance and limit it to the agreed contact details and relevant project information.

Enquiries, legal bases and promotional emails

The contact form collects your email address and subject as required fields. First name, last name and message are optional. Without the required information, the form cannot be submitted. Providing this information does not itself oblige you to enter a contract. We use the information you provide to respond, discuss your requirements, prepare quotations and, where relevant, manage orders and support.

Where the GDPR applies, processing necessary to take steps at your request before a contract with you, or to perform that contract, is based on Article 6(1)(b). General business enquiries, communication with representatives of business customers, and the sharing needed to coordinate relevant sales and support are based on Article 6(1)(f): our legitimate interests in responding to requests and providing and administering Pixel Cube products and services. Sales reporting between the companies is based on their legitimate interests in verifying sales and administering revenue sharing. Processing necessary to meet legal record-keeping obligations is based on Article 6(1)(c).

Occasional promotional emails are sent only after permission has been obtained individually and recorded in monday.com, including which company or companies the permission covers. Submitting an enquiry does not subscribe you to promotional emails. The legal basis is consent under Article 6(1)(a). You may withdraw consent at any time by contacting the sender or info@awesomepixels.de; withdrawal does not affect earlier lawful processing. Permission-based partner introductions also rely on Article 6(1)(a), and consent may be withdrawn before further sharing.

Hosting, email and customer records

This website and its native contact form use Framer B.V., Rozengracht 207B, 1016 LZ Amsterdam, the Netherlands. When pages and media are requested, technical connection data such as the IP address, browser information and requested resources are processed to deliver the site and protect it against errors and abuse. Framer uses Amazon Web Services infrastructure and a global content-delivery network. The legal basis is Article 6(1)(f), our legitimate interest in a reliable and secure website.

Google Workspace is used to receive and store enquiry and support correspondence in a shared email inbox. The provider under Google’s standard German-customer terms is Google Cloud EMEA Limited, 70 Sir John Rogerson’s Quay, Dublin 2, Ireland. Email processing includes sender and recipient addresses, message content and relevant delivery information. We use the default data-region settings; storage and processing are not restricted exclusively to Europe.

monday.com is used to manage enquiry, customer and support records and to record marketing permissions. Enquiries are entered manually from the shared inbox. Our account uses the US data region. The provider is monday.com Ltd., 6 Yitzhak Sadeh St., Tel Aviv 6777506, Israel. These providers process the information supplied to their services to provide hosting, communication and record-management functions. The purposes and legal bases for the underlying enquiries, support and marketing are described above.

Cookies, browser storage and external services

We use Framer’s built-in analytics to understand visits, page views, referral sources and use of our website. Framer states that these analytics do not use cookies or persistent visitor identifiers. To count daily unique visitors, it hashes IP address and browser user-agent information using a secret that changes and is deleted daily. The resulting dashboard statistics do not identify individual visitors. To the extent personal data is processed in producing these statistics, we rely on Article 6(1)(f), our legitimate interest in understanding and improving the website.

The project-poster carousel shuffles its display order using temporary memory for the current page load. It does not read or write cookies or browser storage to remember the order across visits.

Some product-animation images are loaded from Wix’s content-delivery service at static.wixstatic.com. When you open the interactive 3D viewer, software resources are loaded from jsDelivr at cdn.jsdelivr.net. These requests disclose technical connection information, including your IP address and browser request information, to the relevant delivery service. We use these resources to display product media and provide the requested interactive viewer, based on Article 6(1)(f), our legitimate interest in presenting the product and operating those website features.

International processing

Information is shared between Awesome Pixels in Germany and OTTOMATIC in Switzerland for the activities described above. Switzerland benefits from a European Commission adequacy decision under Article 45 GDPR.

Our service providers and their subprocessors may process data outside the European Economic Area. monday.com records use its US data region; Google Workspace uses default regional settings, and Framer uses US infrastructure and global content delivery. External media and software-delivery requests can also be handled through worldwide networks.

The providers’ data-processing terms describe the safeguards for international transfers: adequacy decisions where applicable, including the EU-US Data Privacy Framework for transfers to covered certified recipients, and EU Standard Contractual Clauses for transfers that require those safeguards. Israel, where monday.com Ltd. is established, also benefits from an EU adequacy decision. You can request further information and copies of applicable safeguards from info@awesomepixels.de.

Retention

We keep personal data for as long as needed for the relevant enquiry, customer relationship or support purpose. Awesome Pixels reviews unsuccessful enquiries after 12 months without meaningful contact and coordinates deletion unless a documented reason justifies continued retention. Resolved support cases are reviewed 12 months after the support contract ends and deleted on the same basis. These reviews cover the shared monday.com records, corresponding Google Workspace emails and copies held separately by OTTOMATIC; each company implements deletion in its own systems.

Reasons for continued retention may include an ongoing enquiry or dispute, applicable statutory duties, or the establishment, exercise or defence of legal claims. Marketing contact information is kept only while needed for the consented purpose. After withdrawal or objection, a limited suppression record and any necessary evidence of consent or withdrawal may be retained to respect your choice and meet accountability or legal requirements; this does not permit further promotional use.

Where German commercial and tax retention obligations apply, qualifying business correspondence is generally retained for six years, accounting vouchers for eight years, and accounting books and annual financial statements for ten years. Periods generally run from the end of the relevant calendar year and may be extended where legally required. Retention to fulfil legal obligations is based on Article 6(1)(c). These periods do not automatically apply to every enquiry or technical log. Each company also observes mandatory retention duties in its own jurisdiction.

Technical data is retained only as long as needed for delivery, troubleshooting and security, subject to necessary incident investigation or legal retention. Provider backups are removed under the relevant service’s deletion and backup cycles.

Your rights

Depending on the applicable law and circumstances, you may request access, correction, deletion, restriction or portability of your personal data. You may object to processing based on legitimate interests on grounds relating to your particular situation. You may object to direct marketing at any time.

Where processing relies on consent, you can withdraw it at any time without affecting earlier lawful processing. For privacy questions and rights requests, contact Awesome Pixels at info@awesomepixels.de. Awesome Pixels coordinates requests relating to shared support with OTTOMATIC. You remain entitled to contact either company about jointly processed support data, or the relevant company about its separate processing. The Data Protection Officer’s direct contact details are listed above.

You may also complain to a competent data-protection authority, including a supervisory authority in your EU place of residence or work, or the Swiss Federal Data Protection and Information Commissioner.
